A workspace for agencies that run many clients at once

How can an agency manage many clients in one workspace?

Emitii gives an agency one space per client, holding that client's tasks, board, files, calendar, chat and time log. Clients can be invited as guests to their own space only, so feedback and approvals stay next to the work instead of in email.

How an agency runs a client in Emitii

  1. 1

    New client

An admin creates a space for the client and picks the Client or Project type.

  2. 2

    Invite guests

Client contacts are invited from Admin Console > Guests and added to that one space only.

  3. 3

    Brief in Docs

The brief, contract and brand assets go into Docs & Files, organised in folders.

  4. 4

    Plan the work

Recurring deliverables become to-dos in Tasks; staged jobs become cards on the Board.

  5. 5

    Talk in Pulse

The team discusses the client in Pulse and comments on the exact card or doc.

  6. 6

    Review and approve

Drafts marked Guest get client comments; questions go in Guest Pulse.

  7. 7

    Log hours

Everyone logs billable time against the client's cards and submits the week.

  8. 8

    Report

A weekly Post summarises progress; timesheets export to CSV for billing.

The agency problem: many clients, one scattered team

An agency is a business that sells the same people's time to many clients in parallel. On a normal Tuesday one designer might touch four accounts, a producer might chase three approvals, and an account lead might answer questions from six inboxes. The work is not hard to do. What is hard is keeping every client's context in one place.

Most agencies end up with a chat tool for the team, email for clients, a task tool for the producer, a shared drive for files and a spreadsheet for hours. Each tool holds part of the story. When a client asks "where are we?", someone has to rebuild the answer from five places. That is the pattern described in how agencies manage client projects, and it is the gap Emitii is built for.

One space per client

In Emitii the unit of work is the space. An agency usually creates one space per client, or one per large engagement when a client runs several unrelated jobs. Each space has its own tabs:

  • Tasks for to-do lists such as "Onboarding", "Monthly deliverables" or "Open questions".
  • Board for work that moves through stages, like briefs moving from "Brief" to "In production" to "Client review" to "Done".
  • Docs & Files for briefs, contracts, brand assets and delivered files, with version history on uploads.
  • Schedule for kick-offs, review calls, shoot days and deadlines.
  • Pulse for the team's running chat about that client.
  • Posts for longer updates, such as a weekly status note.
  • Timesheet for hours logged against the client's cards and to-dos.

Choosing the space type

When you create a space you pick a type, which only decides which tabs start switched on. Client turns on Tasks, Schedule, Posts and Activity, which suits a retainer where the work is a steady list. Project adds Board and Timesheet, which suits a defined job with stages and tracked hours. You can switch modules on or off later, and Docs & Files is turned on per space. The agency template shows a suggested setup you can copy by hand.

Bringing clients in as guests

An admin invites client contacts as guests from Admin Console > Guests, and they are added to the client's space. Everything in the space stays internal until a member shares it: each card, doc, post or event is marked "Guest" or "Internal", and cards follow their column while docs follow their folder. The space's Guest access tab sets each section to shared items or everything, view or edit, so a client can read Posts and comment on a draft in Docs & Files while the Timesheet stays hidden, or shows only their own hours. The details are on the guest access feature page.

The client talks with your team in Guest Pulse, while the team keeps its own Pulse for internal discussion. When someone asks @emitii in Guest Pulse, Emit only uses what guests can see, so it never quotes internal work.

Because comments work the same way on cards, to-dos, events, posts and docs, a client's "can we change the headline?" lands on the exact item it refers to.

Keeping the team's week visible

Account leads and producers need a view across clients. Home shows what needs you, what is overdue and what is coming up across every space you are in. My calendar collects events from all your spaces plus the cards and to-dos assigned to you. Pinning up to five spaces keeps the busiest accounts at the top.

For hours, each person logs time in quarter hours and marks it billable or non-billable, then submits the week for approval. The CSV export gives your finance process clean numbers. The time tracking and billing use case explains how agencies bill from the export.

Emit, the space AI

When an organisation has AI switched on, each space can use Emit, which knows only that space. An account lead can ask "Catch me up on this space" before a client call, or ask Emit to draft a status post from the board. Every change it proposes waits for Approve or Reject. Files it produces, such as a PDF status report, are saved into Docs & Files, not pasted into chat.

Travel and other service agencies

The same shape works beyond creative work. A travel agency can run one space per trip or group, with the itinerary in Docs & Files, vendor threads in Pulse, departure and permit dates in Schedule, and a checklist of documents in Tasks. Staffing, PR and recruitment agencies follow the same one-space-per-client pattern.

Try it before you commit

Emitii has live demo workspaces for a marketing agency, a design studio and a travel agency. They open without signing in and your changes stay in your browser. Open the industry demos to see a client space already filled in, or request access for your own workspace.

Frequently asked questions

How do clients work with us in Emitii?
Clients are invited as guests to their own space. They see only the items your team shares with them, comment next to the work and talk with the team in Guest Pulse.
Should each client get its own space?
Usually yes. One space per client keeps its tasks, files, chat and hours together. Large clients with unrelated jobs can have one space per engagement.
Can clients see our internal chat?
No. The team's Pulse stays internal, and guests chat with the team in a separate Guest Pulse. Anything not shared with guests is invisible to them.
Is there a demo for agencies?
Yes. There are live demos for a marketing agency, a design studio and a travel agency, linked from the industry demos section of the home page.
