Docs and files kept with the project they belong to

How does document management work in Emitii?

Emitii keeps documents in a Docs & Files tab inside each space. It holds folders, Markdown docs, uploaded files and links, with file versions, PDF download for docs, comments and a search box.

Files next to the work

Company documents tend to scatter: a brief in a shared drive, a contract in someone's email, the latest draft in a chat thread. Emitii gives each space its own Docs & Files tab, so the documents for a client or project sit in the same place as its board, chat and schedule.

Docs & Files is off by default and turned on per space, so spaces that do not need it stay simple.

What you can store

  • Folders to organise by phase, client, topic or anything else. A folder tree and breadcrumb show where you are.
  • Docs written in a Markdown editor with a formatting toolbar. Good for briefs, meeting notes, process write-ups and specs.
  • Uploaded files such as PDFs, spreadsheets, drawings and images, with an in-app PDF preview.
  • Links to things that live elsewhere, kept alongside the rest of the material.

Working with docs and files

  • Rename, move and delete items, or sort a folder the way you want.
  • Colour and tags mark items so important ones stand out.
  • File versions. Use "Upload new version" to replace a file while keeping the earlier ones, then pick any version from the version picker. The file keeps one place and one link.
  • Download as PDF turns a doc into a PDF for sending outside the workspace.
  • Comments on docs use the same comment system as cards and to-dos, with @mentions, attachments and reactions.
  • Search docs and files finds items inside the space.

How it connects to the rest of the workspace

  • Comments and mentions. Feedback on a doc happens on the doc itself, so reviewers do not need a separate thread.
  • Emit writes into Docs & Files. Ask the space AI to draft a report, summary or plan and it saves the result as a file here: PDF, Word, Excel, PowerPoint, CSV, Markdown or plain text. Emit never drops files into chat. Long answers are also saved here in full as a Markdown file. See the AI assistant.
  • Workspace search. The Ctrl+K or Cmd+K palette matches doc names across your spaces.
  • Access per area. Docs & Files has its own access level, so a person can manage the board but only view documents, or the reverse. See permissions and access.
  • Guests. Docs, files and folders stay internal until a member shares them with guests. A doc follows its folder unless set on its own, so sharing a Deliverables folder shares what is in it, and an Internal item inside stays private.

A simple structure that holds up

Most teams settle on a few top-level folders per space and keep them the same across clients, so people know where to look in any space:

  • Brief and contract for the agreed scope and signed paperwork.
  • Working files for drafts and uploads in progress, with new versions uploaded over old ones.
  • Deliverables for what was sent to the client.
  • Meeting notes as Markdown docs, one per meeting.

Colour and tags then mark the items that need attention, such as a draft waiting for review.

Personal notes versus space docs

Docs & Files is for shared material that belongs to a project. For private scratch work, Emitii has Notes, which are personal and can be shared read-only. When a note is ready for the team, it belongs in the space's docs.

Who uses it

Architecture and engineering firms keep drawings, site notes and client decisions next to the project's tasks, using file versions for revised drawings. Accounting firms store each client's working papers and filings in that client's space. Agencies keep briefs, drafts and approved assets per client. The guide on organising company documents suggests folder structures that hold up over time.

Security

Docs and files are encrypted, like everything in Emitii, and each organisation's data is kept separate from every other organisation's, and Enterprise workspaces can have everything on their own dedicated setup. Emitii is invite-only, so only people your admin adds can reach the workspace.

Frequently asked questions

Can I export a doc as a PDF?
Yes. Docs written in the Markdown editor have a Download as PDF option.
Is Docs & Files on in every space?
No. Docs & Files is off by default and a space admin turns it on for the spaces that need it.
Can the AI create documents?
