Project management built around spaces

How does project management work in Emitii?

In Emitii every client, project or internal team gets its own space. A space holds the tabs that work needs, such as Board, Tasks, Schedule, Timesheet, Docs & Files, Pulse and Posts, so the plan, the conversation and the files stay in one place.

What a space is

A space is the container for one piece of work: a client account, a project, or a team. Instead of a project living in a task tool while its chat lives somewhere else and its files live in a drive, everything for that project sits behind the same set of tabs.

The space sidebar groups its tabs into three sets:

  • Work: Dashboard, Emit, Board, Tasks, Schedule, Timesheet.
  • Content: Docs & Files, Pulse, Posts.
  • System: Activity, Trash.

Each tab is a module you can turn on or off for that space. The edit screen puts it simply: "Turn on what this space needs."

Space types: Client, Project and Internal

When you create a space you pick a type. A type is a preset that decides which modules start switched on. It is not a template with sample content.

Space typeModules on by default
ClientTasks, Schedule, Posts, Activity
ProjectBoard, Tasks, Schedule, Timesheet, Posts, Activity
InternalTasks, Schedule, Timesheet, Posts, Activity

Pulse, the space group chat, is always on. Docs & Files is off by default and can be turned on for any space. You can change the type or the module list later, so a space can grow with the work.

How a project runs inside a space

  • Plan the work on the Board. Cards move across columns you name yourself, with priority, labels, assignees, due dates and a blocked flag. See tasks and the board for the detail.
  • Keep smaller jobs in Tasks. To-do lists handle checklists of work, including recurring to-dos, and any to-do can be sent to the board when it grows.
  • Put dates on the Schedule. The space calendar holds meetings, deadlines and events, and shows card and to-do due dates alongside them.
  • Talk in Pulse and Posts. Quick discussion goes in Pulse; longer updates and announcements go in Posts.
  • Store the files in Docs & Files. Briefs, contracts, drafts and uploads sit next to the work they belong to.
  • Record time in the Timesheet. Hours are logged against cards and to-dos and approved weekly.

The space Dashboard

The Dashboard is the first thing people see when they open a space. It shows summary cards for Flow (the board), Tasks, Schedule, Posts, Pulse and "What's happening". A project lead can open one tab and see what is moving, what is due and what people are saying, without clicking through every module.

The Activity tab keeps a running feed of the space, filtered by cards, comments, posts, schedule and tasks. Across all spaces, each person's Home page shows what needs them, what is overdue and what is coming up.

Members and access

Each space has its own members. From the space settings you can add people, make them a space admin or member, or remove them. Access can be set per area, so someone can contribute on the Board but only view the Timesheet. Outside people such as clients can be added as guests to the spaces they need and nothing else. The full model is on the permissions and access page.

Keeping the space list tidy

  • Pin up to five spaces so the ones you work in daily stay at the top.
  • Reorder your spaces to match how you think about them.
  • Archive a space when the project ends. Finished cards, columns, to-dos and lists can also be archived and restored later.
  • Trash keeps deleted cards, to-dos, columns, posts and events restorable for 30 days.

Who uses spaces this way

Agencies usually open one space per client, often using the Client type for account work and the Project type for a campaign or build. Software companies run a sprint or product area per space with the Board front and centre. Operations teams use the Internal type for recurring work like payroll, hiring or office admin. The project management use case walks through a typical setup.

Getting a space running

Emitii is invite-only. Your workspace admin creates spaces and adds people, and the spaces guide in the docs covers the settings step by step. To see a working setup first, try a live demo or request access.

Frequently asked questions

What is a space in Emitii?
A space is the container for one client, project or team. It holds the tabs that work needs, such as Board, Tasks, Schedule, Timesheet, Docs & Files, Pulse and Posts.
Are space types the same as templates?
No. Client, Project and Internal are presets that choose which modules start switched on. They do not add sample cards or content, and you can change the modules at any time.
How many spaces can we create?
Spaces are unlimited. You can pin up to five of them to the top of your list.
Can clients see their project space?
Yes, if you invite them as guests. Guests see only the spaces they are added to, and inside them only the items you share or the sections the space's Guest access tab opens.
