Two tools for two kinds of work
Not every piece of work needs a card on a board. Emitii splits task management into two tabs inside each space:
- Board for work that moves through stages, like a design going from brief to review to approved.
- Tasks for lists of things to get done, like an onboarding checklist or a weekly report that repeats.
Both live in the same space as the chat, files and schedule for that work, so a card is never far from the conversation about it.
The Board
The Board is a kanban view. Its dashboard card is called Flow, because it shows how work moves.
Columns
Columns are free text, so you name them to match how your team works, for example "To do, In progress, Done" or "Brief, Draft, Client review, Approved". Each column can be renamed, moved, archived or deleted, and can carry a WIP card limit so a stage does not pile up.
Cards
A card holds everything about one piece of work:
- Description written in Markdown.
- Assignees: more than one person can own a card.
- Due date, which also appears on the space Schedule and on each assignee's My calendar.
- Priority: Urgent, High, Medium or Low.
- Labels: free-text labels with eight colour bars.
- Blocked: "Mark as blocked" with a reason, so everyone knows why a card has stopped.
- Checklist: break a card into items, and turn any item into its own card when it gets bigger.
- Comments, history and time log, plus a copy-link button for sharing.
Finding things on a busy board
Filters narrow the board by People, Labels, Columns, Priority, Blocked, or hide done cards. "Search this board" matches card titles, descriptions, checklists and comments. Finished cards and columns can be archived and restored later.
Tasks: to-do lists
The Tasks tab holds lists of to-dos. Each to-do has a title, a Markdown description, assignees, a due date, comments and history.
- Recurring to-dos. Set a to-do to repeat Daily, Weekly, Monthly or every N days, with an optional "Repeat until" date. Good for invoices to chase, reports to send or checks to run.
- Send to board. When a to-do turns into real work with stages, send it to the board and it becomes a card.
- Archive. Completed lists and to-dos can be archived to keep the tab clean.
Rules on the board
Repetitive board admin can be handled by Rules. For example, when a card enters "Done", mark it complete; when a card is marked Urgent, assign it to the lead. Rules support a dry run, a run log and undo. The board automation page covers triggers, conditions and actions in full.
How it connects to the rest of the workspace
- Home shows each person what needs them, what is overdue and what is upcoming across all their spaces.
- My calendar shows cards and to-dos assigned to you next to your events.
- Timesheet entries can point at a card or to-do, so hours are tied to the work. See timesheets.
- Comments on cards and to-dos support @mentions, attachments and reactions, and @emitii can answer or act inside the thread.
- Emit, the space AI, can create, update, move, assign and complete cards and to-dos, asking for approval before each change.
Who uses it
Product and engineering teams at software companies run sprints on the Board with priorities and blocked flags. Marketing agencies use columns for campaign stages and recurring to-dos for monthly reporting. Small offices often use only Tasks, with lists for each area of the business. The task management glossary entry explains the wider concept.

Frequently asked questions
- What is the difference between the Board and Tasks in Emitii?
- The Board is a kanban view of cards moving across columns you define. Tasks are to-do lists for simpler or recurring work. A to-do can be sent to the board as a card.
- Can I set recurring tasks?
- Yes. A to-do can repeat daily, weekly, monthly or every N days, with an optional end date set by Repeat until.
- Can a card have more than one assignee?
- Yes. Cards and to-dos can each have several assignees, and they appear on each person's Home page and My calendar.
- Are there preset board columns?
- You set them yourself. Columns are free text, so you name the stages your team actually uses. Each column can also have a WIP card limit.
