Step by step
- Open the Board tab. Open a space that has the Board module on (Project spaces have it by default) and select Board in the sidebar.
- Add your columns. Choose Add column and name each stage, for example To do, In progress and Done.
- Add a card. Choose Add card in a column and type a title. Open the card to add a description, assignees and a due date.
- Set priority and labels. In the card, pick a priority (Urgent, High, Medium or Low) and add labels so the card is easy to filter.
- Break it down with a checklist. Add checklist items for the smaller steps. Any item can be turned into its own card if it grows.
- Move the card as work progresses. Drag the card between columns, or open it and use Mark complete when it is done.
Board or Tasks?
Both live inside a space and both show up on Home and in My calendar when they have due dates. They suit different kinds of work:
- Board is for work that moves through stages, like a design going from brief to review to approved. The space Dashboard summarises it in a card called Flow.
- Tasks is for plain lists of things to do, like an onboarding checklist or weekly admin.
Columns
Columns are free text, so you name them to match how your team works. Each column's menu lets you rename, move, archive or delete it, and set a card limit (a work-in-progress limit) so a stage cannot quietly pile up.
The column menu also has Rules and completion. Here you can say whether arriving in the column marks a card complete, whether completed cards move into it, and who is assigned when a card arrives.
Cards
A card holds everything about one piece of work:
- Description in Markdown, assignees (more than one is fine) and a due date.
- Priority: Urgent, High, Medium or Low.
- Labels: free-text labels with eight colours, for sorting and filtering cards.
- Mark as blocked, with an optional reason, so everyone sees what is stuck and why. The blocked flag is how you show that something is waiting.
- Checklist items, each of which can be turned into a card.
- Comments, history and the card's time log from the Timesheet.
- Copy link to card for sharing in chat.
Filtering and searching the board
Use Filter cards to narrow the board by People, Labels, Columns, Priority and Blocked, and turn on Hide done to clear finished work away. "Search this board" looks through card titles, descriptions, checklists and comments. Finished cards and whole columns can be archived; the board archive keeps them until you restore them.
Tasks lists and to-dos
In the Tasks tab, choose Add list to create a list, then Add task to add to-dos. Open a to-do to give it a Markdown description, assignees and a due date. To-dos have comments and history too.
Recurring to-dos
A to-do can repeat Daily, Weekly, Monthly or on a Custom schedule (every N days). Set "Repeat until" if the repetition should stop on a date. This suits weekly reports, monthly filings and regular check-ins.
Send to board
When a to-do turns out to be bigger than a checklist item, open it and choose Send to board, then pick the column. It becomes a card in that column and leaves the list; the to-do is archived rather than deleted, so its trail survives. A repeating to-do cannot be sent to the board, because cards do not repeat. Completed to-dos can be archived per list with Archive completed tasks.
Board rules
Rules automate the routine parts of moving work. Choose Automations on the board to open "Rules that run on this board" and build a rule in three parts: when, and, then.
| Part | Options |
|---|---|
| Trigger (when) | Card created, enters or leaves a column, completed, reopened, checklist item checked or checklist done, assigned |
| Condition (and) | Column, label, priority, assignee, blocked, overdue, due within N days |
| Action (then) | Assign or unassign, complete or reopen, move, set priority, add or remove labels, set or clear the due date, set blocked |
Before saving, use Preview to see which cards the rule would affect right now. Each rule keeps a run log, and you can undo what a rule did with Put back. The automation feature page has more examples.
Working with the AI
If AI is on for the space, you can ask Emit to create, move, assign or complete cards and to-dos. It asks for approval before every change. See the AI assistant guide.
Due dates on the Schedule
The Schedule shows month, week and day views, and due dates from cards and to-dos appear there as chips. For the wider picture, see task management in Emitii.
Frequently asked questions
- Can I rename the board columns?
- Yes. Columns are free text, and each one can be renamed, moved, limited, archived or deleted.
- Can a to-do repeat?
- Yes. To-dos can repeat daily, weekly, monthly or every N days, with an optional Repeat until date.
- How do I show that a card is waiting on something?
