How to create and organise spaces in Emitii

How do spaces work in Emitii?

A space in Emitii is the shared home for one client, project or team, with tabs such as Board, Tasks, Schedule, Docs & Files, Pulse and Posts. You create one with Create space, choose a Client, Project or Internal type that switches on the right modules, and add the people who work on it.

Step by step

  1. Choose Create space. Select Spaces in the left rail, then choose Create space.
  2. Name it and pick a colour. Enter a name, such as the client or project, pick a colour and add an optional description in Markdown.
  3. Choose a type. Pick Client, Project or Internal. The type switches on a sensible set of modules for that kind of work.
  4. Adjust the modules. Under Modules, turn tabs on or off. Docs & Files is off by default, so turn it on if the space needs documents.
  5. Create the space. Choose Create space. The space opens on its Dashboard.
  6. Add people. Open Edit space, search teammates by name or email under Add people, and make each one an admin or member of the space.

What a space is

A space is the container for one piece of work: a client account, a project, a department or a standing team. Everything about that work lives in the space, so the conversation, the tasks and the files stay next to each other. Emitii calls this connected work.

The space sidebar groups its tabs into three sets:

  • Work: Dashboard, Emit, Board, Tasks, Schedule and Timesheet.
  • Content: Docs & Files, Pulse and Posts.
  • System: Activity and Trash.

Only the modules you turn on appear. Pulse, the space's group chat, is always on.

Space types

When you create a space, you pick one of three types. A type is a preset that switches on a starting set of modules; it does not add sample content, and you can change modules at any time.

TypeBest forModules on by default
ClientWork you share with someone outsideTasks, Schedule, Posts, Activity
ProjectDelivery work that moves through stagesBoard, Tasks, Schedule, Timesheet, Posts, Activity
InternalA standing team or departmentTasks, Schedule, Timesheet, Posts, Activity

Docs & Files is off for all three types and is turned on per space.

Modules

Open Edit space and use the Modules section ("Turn on what this space needs.") to change which tabs a space has:

  • Board: cards you drag from idea to done. See Tasks & board.
  • Tasks: to-do lists with owners and due dates.
  • Schedule: a shared calendar for events and deadlines.
  • Docs & Files: docs and uploads in folders. See Docs & files.
  • Posts: announcements and longer team updates.
  • Timesheet: time logged against cards and to-dos.
  • Activity: a running log of everything that happens.

The Emit tab appears when an admin has turned AI on for the space.

Members

Edit space is also where you manage people. Search for teammates under Add people, then use Make admin, Make member or Remove from space. Space admins can edit the space and its members. What each person can do inside each tab is set by their access level, which is covered in Admin & access. Clients and other outside people join as guests and see only the spaces they are added to. The space's Guest access tab sets what they see there, and items stay internal until someone shares them.

The Dashboard

Every space opens on its Dashboard, a summary of the space at a glance. It shows cards for Flow (the board summary), Tasks, Schedule, Posts and Pulse, plus "What's happening" for recent activity. It is the fastest way to see where a space stands before you open a tab.

Pinning and archiving spaces

  • Pin: use the pin icon on a space card (Pin space) to keep up to five spaces at the top of your list. You can reorder pinned spaces.
  • Archive space: when the work is finished, open Edit space and choose Archive space. The space leaves your active list but its content is kept.

Trash and Archive inside a space

Emitii has two different places for things you remove:

  • Trash holds deleted to-dos, cards, columns, posts and events. Items in Trash can be restored for 30 days, and Trash has its own search. Docs are not listed in space Trash.
  • Archive is for finished work you want out of the way but kept: cards, columns, to-dos and lists. Archived items stay until you restore them. The Board and Tasks each have their own archive.

Use Archive for work that is done and Trash for things that were a mistake.

Where to learn more

The project management feature page explains how spaces support client and delivery work, and the client management use case shows the Client type in practice.

Bring your team into one connected workspace

Emitii is invite-only. Tell us how your team works and we will set up a workspace around it, or explore a live demo first.
