How to manage people and access in the Emitii Admin Console

How do admins manage people and access in Emitii?

Emitii owners and admins manage the workspace from the Admin Console: they invite people as Admin or Member, import them from CSV, invite guests to specific spaces, and grant space access to everyone, a department, a group or one person. Access in Emitii adds up, so each grant can only give more, never take away.

Step by step

  1. Open the Admin Console. Select Admin Console at the foot of the left rail. Only owners and admins see it.
  2. Go to Invitations. Under People, open Invitations to invite people to your organisation.
  3. Enter the email and role. Type the person's email and choose Admin or Member as their role.
  4. Send the invitation. Choose Invite. Emitii emails the invitation; you can also copy the link and send it yourself.
  5. Track and follow up. The Invitations list shows each invitation's status and expiry. Use Resend if it has not been accepted, or revoke it.
  6. Give them access to spaces. Open Permissions and use Give access to grant the person, their department or a group a level in the right spaces.

The Admin Console

Owners and admins open the Admin Console from the foot of the rail. Members see "Your access" there instead, which lists their level in each space, and guests see neither. The console is grouped into sections:

GroupSections
OverviewDashboard, Organization
PeoplePeople, Invitations, Guests, Groups, Departments
AccessPermissions
WorkspaceSpaces, Meeting Rooms, AI Access, AI Usage
EmailNotification Email, Email Log
AuditAudit Log

Sections an admin does not have permission for are hidden. The Dashboard shows counts of employees, admins, departments, groups and custom permissions, with quick actions and recent activity. Organization holds the company name and logo, the domain join policy and join requests; see Workspaces for join modes.

Roles

A workspace has four roles: Owner, Admin, Member and Guest. The owner holds powers nobody else has by default, such as domains, deleting or transferring the workspace and naming another owner. Sending invitations is also owner-controlled: an admin can invite only if the owner has given admins that power.

Inviting people

There are three ways to bring people in:

  • Invitations: invite one person at a time as Admin or Member, as in the steps above.
  • People > Invite Employee: the same kind of invite, started from the People list.
  • Import from CSV: download the template, fill in names, emails, departments and groups, then upload it. Emitii shows a preview of what will be created, including duplicates and errors, before you import.

The People list lets you search and filter by role and department, change someone's role, department or groups, deactivate and reactivate accounts, and grant owner.

Guests

Guests are outside people, such as clients or freelancers. Open Admin Console > Guests and choose Invite guest with their email and name. The owner decides which admins may invite guests. Space managers then add the guest to spaces from the space's member list, and a guest can later be promoted to a full member. Guests:

  • see only the spaces they are in and the people they share a space with,
  • can view or contribute in the sections opened to them, but never manage a space,
  • talk with the team in Guest Pulse and in comments on shared items,
  • see anything not shared with them as Not Found.

What guests see comes from two layers, and the stricter wins. Guest permissions under Admin Console > Guests sets workspace defaults per area; Dashboard, Board, Tasks, Schedule, Docs & Files and Posts are on by default. Each space's Guest access tab then picks a preset ("Only what I share", "Full project" or "Custom") and sets a level per section, such as Shared items or Everything. Everything is internal until a member shares it, and each space has a Guest access switch that keeps all shares when it is turned off. The guest access feature page explains how teams use this for client work.

Groups and departments

Groups and Departments are ways to grant access to many people at once. A department usually mirrors your org chart (Design, Finance); a group can be any set of people (Leads, Contractors). Create, edit and delete them, and manage their members, from their own sections.

Permissions and levels

Permissions ("Workspace permissions") is where you decide who can reach what. Each grant has three parts: who (everyone, a department, a group or a person), where (every space, a group of spaces or chosen spaces), and what level.

Space access levels are:

LevelWhat it allows
No accessNothing
View onlySee everything in the space, change nothing
Can contributeAdd and change things: cards, tasks, docs, posts, messages
Can manageAll of the above, plus rename the space and choose who is in it

The built-in roles Viewer, Contributor and Manager map to those levels. You can also set a level per area (Board, Tasks, Schedule, Timesheets, Posts, Activity and Docs & Files) or create custom roles. Admin powers, such as creating spaces, can be granted the same way, and the owner controls which admin powers others hold.

Access adds up

Grants combine and never narrow. If everyone has View only on a space and the Design group has Can manage, a designer can manage it. There is no grant that takes access away, which makes it easy to reason about who can do what. To reduce someone's access, remove the grant that gave it. Read more on the access control feature page.

Spaces and AI

Admin Console > Spaces gives admins an oversight list of every space. AI Access turns Emitii's AI on per space and handles requests from space admins; AI Usage shows tokens, requests and cost against the monthly budget. See the AI assistant guide.

Notification email and the Email Log

Notification Email sets organisation-wide email rules for each notification type, so admins can decide which alerts may go out by email. The Email Log shows what was sent.

Audit log

The Audit Log is a filterable record of admin actions, such as "Invited user", "Set access policy", "Imported CSV" and "Changed member role". Use it to answer who changed what and when.

Frequently asked questions

Can I import users from a spreadsheet?
Yes. Admin Console > People has Import from CSV with a template, and it shows a preview before anything is created.
What does 'access adds up' mean in Emitii?
Every access grant a person receives combines with the others, and no grant can reduce access. Their level in a space is the highest one any grant gives them.
Can guests see the whole workspace?
No. Guests see only the spaces they are in, and inside them only what is shared with them or opened in the space's Guest access tab.
