How workspaces work in Emitii

What is a workspace in Emitii?

A workspace in Emitii is one organisation's private area, holding its people, spaces, chats and settings. One account can belong to several workspaces and switch between them, and each workspace's admins decide how new people join.

Step by step

  1. Log in. Log in with Google or your email and password.
  2. Pick a workspace. If your account belongs to more than one workspace, choose one on the Choose a workspace screen.
  3. Switch from the top bar. To move to another workspace later, use the workspace switcher in the top bar. You stay logged in.
  4. Watch for unread dots. A dot next to another workspace means it has unread messages waiting for you.
  5. Start from Home. Each workspace has its own Home page showing what needs you in that workspace.

What a workspace is

A workspace is your organisation's own copy of Emitii. Everything inside it (people, spaces, chats, docs, calendars and settings) belongs to that organisation and is kept separate from every other workspace. Each organisation's data is isolated at the database level, so one workspace can never see another's content.

Inside a workspace there are four roles:

  • Owner: full control, including owner-only powers such as domains, deleting or transferring the workspace and naming other owners.
  • Admin: runs the Admin Console, invites people and manages access.
  • Member: works in the spaces they have access to.
  • Guest: an outside person, such as a client, who sees only the spaces they were added to.

Belonging to more than one workspace

One Emitii account can belong to several workspaces. This is common for consultants, agencies working inside a client's workspace, or people who help run more than one company. You do not need a second login.

  • At login: if you belong to more than one workspace, Emitii shows a "Choose a workspace" screen.
  • While working: use the switcher in the top bar to move between workspaces.
  • Unread elsewhere: a dot shows when another workspace has unread messages.

Your notification settings, access levels and Home page are per workspace, because each workspace is a separate organisation.

How people join a workspace

A new company's workspace is created by the Emitii team, who invite the owner. After that, the organisation controls who comes in. Admins invite people from the Admin Console, one at a time or by CSV import, and can invite guests to specific spaces. See Admin & access for the details.

The owner can also set a domain join policy in Admin Console > Organization, since domains are an owner-only power. There are three modes:

Join modeWhat happens
Invite onlyNobody joins without an invitation
Allowed domain can request to joinPeople with an email on your allowed domain can ask to join, and an admin approves the request
Anyone with an allowed domain can joinPeople with an email on your allowed domain join straight away

Join requests appear on the Organization page for an admin to accept or decline.

The Home page

Home is your personal start page in each workspace. It pulls together what matters to you from every space you belong to, so you do not have to open each one.

  • Conversations strip: your recent chats, one tap away.
  • Needs you: cards and to-dos waiting on you, filtered by All, Tasks or Boards.
  • Your spaces: every space you are in, filtered by All or Mine.
  • Recently visited: the places you opened last.
  • Overdue: work past its due date.
  • Upcoming: what is due or scheduled soon.
  • Later: your message reminders and messages you saved for later.
  • Recent activity: what happened across your spaces, filtered by All, Mentions or My Space.

Overdue and Upcoming come from due dates on cards and to-dos and from events in each space's Schedule. Later fills up when you use "Save for later" or "Remind me" on a message.

Workspace appearance and settings

Each person can choose Light or Dark mode and one of seven themes (Emitii, Graphite, Dusk, Parchment, Grove, Cocoa and Contrast) in Settings. Company name and logo are set by an admin on the Organization page. For a wider view of how a workspace ties spaces, chat and documents together, see what a business workspace is.
