How to use Docs & Files in Emitii

How does Docs & Files work in Emitii?

Docs & Files is the module in each Emitii space for written docs, uploaded files and links, organised in folders. It is off by default, so a space admin turns it on in Edit space; after that, people can write Markdown docs, upload files, keep file versions, comment on docs and download them as PDF.

Step by step

  1. Turn the module on. Open the space, choose Edit space, and under Modules turn on Docs & Files. Save changes.
  2. Open Docs & Files. Select Docs & Files in the space sidebar, under Content.
  3. Create a folder. Choose New, then Folder, and give it a name such as Contracts or Briefs.
  4. Write a doc. Open the folder, choose New, then Document. Give it a title and write in the editor, then save.
  5. Upload files. Choose New, then Upload files, and pick one or more files.
  6. Share and discuss. Open a doc to comment on it, @mention a teammate, or download it as a PDF to send outside Emitii.

Why documents live in the space

When documents sit in a separate drive, the brief is in one place and the discussion about it is in another. Docs & Files keeps them inside the space where the work happens, next to the Board, Tasks and Pulse. The same people who can see the space can find its documents, according to their access level.

Turning the module on

Docs & Files is off by default for every space type. A space admin opens Edit space and turns it on under Modules. Once on, it appears in the space sidebar under Content. Turning it off hides the tab again.

What you can store

Choose New to add any of four item types:

  • Folder: for grouping. Folders can hold other folders.
  • Document: a doc written in Emitii's Markdown editor, with a formatting toolbar.
  • Link: a saved link to something elsewhere, such as a design file.
  • Upload files: any files from your computer or phone.

Organising folders

A breadcrumb trail at the top always shows where you are and gets you back to the top level in one click. There is also a folder tree. Each item's menu lets you:

  • Rename it.
  • Move to… another folder.
  • Set Colour & tags… so related items stand out.
  • Delete it.

You can sort the list, and switch between list and grid views. For ideas on structuring folders across a company, see the guide on how to organise company documents.

Writing docs

Open a doc to read it, and choose Edit document to change it. The editor uses Markdown, so headings, lists, links and code blocks all work, and the toolbar helps if you do not know Markdown. Choose Save when you are done. Docs and files are encrypted, like everything in Emitii.

File versions

When a file changes, upload the new copy onto the existing item instead of adding a duplicate. Open the file and choose Upload new version. The version picker lets anyone open an earlier version, so you keep a history of a contract or a drawing without a pile of "final-v3" files.

Previews and PDF download

Images, videos, PDFs, Markdown and text files open in an in-app preview, so you do not have to download them to take a look. Docs have a Download as PDF button, which is handy for sending a proposal or a set of meeting notes to someone outside Emitii.

Comments

Docs share the same comment system as cards, to-dos, events and posts. Comments open once a doc has content. You can @mention teammates, attach files, react with emoji, and edit or delete your own comments. If AI is on for the space, you can @emitii in a comment to ask a question about the doc.

Searching

Use "Search docs and files" at the top of the module to find items by name within the space. The Ctrl+K (Cmd+K) palette also finds doc names across all your spaces. Search matches on names.

Files the AI creates

When you ask Emit for a report, a spreadsheet or a slide deck, it saves the file into Docs & Files rather than into the chat. It can produce PDF, Word, Excel, PowerPoint, CSV, Markdown and plain text files. See the AI assistant guide.

Good to know

  • Teams use Docs & Files for handbooks and process notes, often in an Internal space.
  • For personal notes that are not attached to a space, use Notes, covered on the notes feature page.

Frequently asked questions

Can I keep old versions of a file?
Yes. Use Upload new version on an existing file, and the version picker lets you open earlier versions.
Why can't I see Docs & Files in my space?
The module is off by default. A space admin needs to turn it on under Modules in Edit space.
