Employee onboarding setup for a new hire's first weeks

How do you onboard a new employee in Emitii?

Employee onboarding in Emitii runs in an Internal space with a to-do list for each new hire, the handbook and policies in Docs & Files, first-week meetings on the Schedule and a welcome post in Posts. This is a blueprint you set up by hand in a few minutes.

How a new hire is onboarded in Emitii

  1. 1

    Invite

An admin invites the new hire as a Member and sets department and groups.

  2. 2

    List

Create a to-do list for the new hire in the Onboarding space.

  3. 3

    Assign

Assign to-dos to the manager, buddy and new hire with due dates.

  4. 4

    Meetings

Put first-week meetings on the Schedule with invitees.

  5. 5

    Welcome

Publish a welcome post in the Company space.

  6. 6

    Check-in

Hold the 30-day check-in and archive the finished list.

Who this setup is for

Office managers, founders and team leads at small and growing companies who hire a few people a year and want every new starter to get the same first weeks. It keeps the checklist, the documents and the welcome in one place instead of in an email chain.

You build this once by hand in a few minutes, then add one list per new hire.

Before the first day

An admin invites the new hire from Admin > Invitations as a Member, and sets their department and groups in Admin > People. Access to spaces can be granted by department or group, and access adds up, so the new hire gets everything their team can see.

Modules to turn on

The Internal type starts with Tasks, Schedule, Timesheet, Posts and Activity, plus Pulse. Turn on Docs & Files. Turn off the Timesheet in Onboarding.

Task lists and example to-dos

Create one list per new hire, named for the person and start date (e.g. "Anisha, starts 3 November"). Example to-dos:

  • Before day one (manager): "Send invitation", "Prepare laptop", "Add to team spaces", "Pick an onboarding buddy"
  • Week one (new hire): "Read the handbook", "Set up profile and notifications", "Meet each team member", "Shadow a client call"
  • Month one: "First project task", "30-day check-in with manager"

Assign each to-do to the right person with a due date. The new hire sees theirs on Home and in My calendar.

Docs and folders

Create folders for Handbook, Policies, How we work and Tools and access. Write the handbook as docs so people can comment with questions. Keep policies current by uploading new versions rather than new files.

Schedule

Add the new hire's first-week meetings as events with invitees: welcome session, team introductions, buddy lunch, 30-day check-in. For regular intakes, add a recurring monthly "New joiners session".

Pulse and Posts

Publish a welcome post in Company introducing the new hire, with "Notify everyone" if the team is small. Use Pulse in Onboarding for questions; the buddy and manager answer there. Inside the space, a new hire can @emitii in Pulse to ask what is on their list this week.

Optional board Rules

Onboarding usually lives in Tasks, not the Board. If you prefer a board with columns Not started, This week, Done, add a rule: when a card enters Done, mark it complete.

Keeping onboarding consistent

The value of this setup comes from every new hire getting the same first weeks. Keep a master list of onboarding to-dos in a doc in the Onboarding space, and copy from it each time you create a new hire's list. After each 30-day check-in, ask the new hire what was missing or confusing and update the master doc and the handbook. Archive a new hire's list once it is finished; archived lists are kept and can be restored. Over time the handbook answers the questions that used to arrive in direct messages.

Try it

Read business operations for other internal routines, access control for how departments and groups grant access, or the small business template for a whole company setup. Emitii is invite-only: request access, or try a live demo from the Emitii home page.

Frequently asked questions

Can I reuse an onboarding checklist for each new hire?
Yes. Create a new list for each hire from the same to-dos, so every new starter gets the same first weeks.
How does a new hire get access to the right spaces?
Admins grant space access to departments and groups. Adding the new hire to their department or group gives them that access.
Can I import several new employees at once?
Yes. Admins can import people from a CSV file in Admin > People, using the provided template.

Bring your team into one connected workspace

Emitii is invite-only. Tell us how your team works and we will set up a workspace around it, or explore a live demo first.
