What problem does this solve?
Operations work is rarely a project with a finish line. It is the monthly filing, the weekly payroll check, the new laptop order, the updated leave policy and the office move. Because it repeats, it tends to live in people's heads, personal reminders and old email threads.
When the person who "just knows" is away, routine work stops or gets done twice. Policies exist in several versions, and nobody is sure which one is current. Company-wide updates go out by email and are forgotten.
Who has this problem?
- Small and growing businesses where a few people cover finance, admin and people operations between them.
- Operations and office managers who own a long list of recurring chores.
- Founders who want the company's routines written down before the team doubles.
- Firms with several departments that each run their own internal processes.
How is it usually handled?
Operations often run on a mix of personal to-do apps, calendar reminders, spreadsheets, a shared drive of policies and company-wide emails. Some teams keep a checklist document that someone copies each month.
What are the limits of that?
- Routines depend on one person. Personal reminders do not transfer when someone leaves or goes on holiday.
- Documents go stale. Policies are copied and edited in several places.
- Updates get lost. An email announcement is buried in inboxes within a day.
- No one sees the whole picture. There is no shared view of what is due this week across the company.
How does Emitii solve it?
Create an Internal space for each operational area, such as Finance & admin, People, Office and Company updates. The Internal type starts with Tasks, Schedule, Timesheet, Posts and Activity, plus Pulse chat. Turn on Docs & Files for policies.
- Recurring to-dos for routines. A to-do can repeat daily, weekly, monthly or every N days, with an optional end date. Monthly tax filings, weekly payroll checks and quarterly reviews come back on their own with the right owner. See task management.
- Recurring events for fixed meetings. The Schedule handles weekly team meetings, month-end reviews and annual renewals, with invitees, RSVPs and meeting room booking. See calendar features.
- Posts for company updates. Use Posts for policy changes, holiday notices and news, with "Notify everyone" and pinning for the ones that must stay visible.
- Docs & Files for policies and procedures. Keep one current copy of each policy and procedure in folders. Uploaded files keep their versions, and docs can be downloaded as PDF.
- Directory for contacts. The company Directory holds contacts, including suppliers and advisers without accounts, and admins can import it from CSV.
- Admin Console for people and access. Admins invite people, organise them into departments and groups, set permissions per space and review the Audit Log. Access adds up: grants combine and never narrow. See access control.
Home shows each person what is overdue and upcoming across every space, so routine work does not depend on one person's memory.
What does the workflow look like?
- List your operational areas and create an Internal space for each one.
- Add people by department or group so the right people see each space.
- Turn routines into recurring to-dos with an owner and a repeat schedule.
- Put fixed meetings on the Schedule as recurring events, with a meeting room where needed.
- Move policies into Docs & Files and delete the old copies elsewhere.
- Announce changes in Posts and pin anything people will need again.
- Review weekly from Home and each space's Dashboard.
For a concrete setup, see the small business template or the employee onboarding template. How to organize company documents covers the documents side, and small business shows the wider picture.
Who keeps it running
Operations only stay visible if each routine has an owner. Assign every recurring to-do to one person rather than to a group, and name a backup in the to-do description for holidays. Space managers can check each space's Activity feed to see what was done and when, and the Dashboard shows what is coming up. Emit, the space AI, can answer "What is overdue?" inside a space, or draft a monthly summary of completed routines as a document in Docs & Files, after you approve it.
