Step by step
- Open the space Schedule. Open a space and select Schedule in the sidebar. All three space types have it on by default.
- Create an event. Choose New event, or pick a day on the calendar, and give the event a title.
- Set the time. Choose the date, start and end time, or tick All day for events without a time.
- Invite people and pick a room. Under Invite, add people from the space. If you are meeting in person, pick a room; Emitii shows which rooms are booked.
- Choose a repeat. Leave it as Does not repeat, or choose Daily, Weekly, Every weekday, Annually or Custom and pick the days under Repeat on.
- Save and collect answers. Choose Create. Invitees can answer Attending or Not attending, and the event keeps its own comments.
Schedule and My calendar
Emitii has two calendar views, and they work together:
- Schedule is a tab inside each space. It is the shared calendar for that client, project or team. Everyone in the space sees the same events.
- My calendar is your personal view, opened from Events in the left rail. It gathers events from every space you are in, plus the cards and to-dos assigned to you, so you see your whole week in one place.
Both have month, week and day views.
Events
An event has a title, a date and time (or All day), an optional description in Markdown, invitees and an optional meeting room. It also shows who organised it. Like cards and to-dos, events have their own comment thread, so the discussion about a meeting stays with the meeting.
Due dates from cards on the Board and to-dos in Tasks appear on the Schedule as chips, so deadlines sit next to meetings. See Tasks & board for setting due dates.
Repeating events
The repeat options are:
- Does not repeat
- Daily
- Weekly on the event's day
- Every weekday (Monday to Friday)
- Annually
- Custom, where you choose the days under "Repeat on"
When you edit or delete a repeating event, Emitii asks whether the change applies to This event, This and following events, or All events. That way you can move one week's meeting without breaking the series.
RSVP
Invitees answer each event with Attending or Not attending. For a repeating event, the answer is per occurrence, so someone can skip one week and still be marked as attending the rest. The event shows who has answered and who has not.
Meeting rooms
Admins set up physical meeting rooms, each with a name and capacity, in Admin Console > Meeting Rooms. When you create an event, pick a room from the Room field. Emitii checks availability and marks rooms that are already booked, so two teams cannot book the same room at the same time. Back-to-back bookings do not count as a clash.
Meeting rooms are for booking physical space. If you meet online, paste the meeting link into the event description. Voice and video calls are coming soon to Emitii.
My calendar
My calendar shows:
- Events from every space you are a member of.
- Cards and to-dos assigned to you, on their due dates.
- Personal events you create for yourself.
This is a good place to plan your week, because it combines client meetings, internal meetings and deadlines that would otherwise be spread across several spaces.
Google Calendar overlay
You can connect your Google Calendar to My calendar to see your primary Google Calendar events alongside your Emitii events.
- Read-only. Emitii shows your Google events as a view alongside your own.
- Not stored. Google events are read live when you open the calendar and are not saved in Emitii.
- Private to you. Only you see your Google events.
- Easy to remove. Use Disconnect Google Calendar to stop the overlay at any time.
Notifications
When you invite specific people to a space event, they are the ones notified. If you leave the invite list empty, the form tells you that everyone in the space is notified. Notification levels and quiet hours are covered in Messages & Pulse.
Using the AI
With AI on for the space, you can ask Emit "What is on the schedule this week?" or ask it to create, update or delete events. It asks for approval before saving any change.
The calendar feature page covers scheduling in more depth, and the guide on running weekly team meetings shows a repeating meeting in practice.
