What remote teams lose
A co-located team absorbs a lot without trying: overhearing a decision, seeing who looks stuck, a quick question at someone's desk. A remote team has none of that. Either the work becomes visible in writing, or it disappears into private messages and meetings.
The usual remote stack makes this harder, not easier. A busy chat tool becomes the place where decisions happen and then scroll away. Tasks live in one tool, documents in another, and the calendar in a third. People in different time zones wake up to hundreds of messages and no summary. The context switching glossary entry explains the cost of jumping between tools, and the distributed teams guide covers habits that help.
Organise by space, not by channel
In Emitii, conversation belongs to a space. Each team, project or client has its own space with its work and its chat side by side. Chat always lives inside a space, which keeps a remote team from sprawling into dozens of rooms nobody reads.
A typical remote company might have:
- Team spaces (Internal type) for each function: Engineering, Customer support, Operations.
- Project spaces (Project type, with Board and Timesheet) for cross-functional work.
- A company space for handbook, policies and company-wide Posts, with Docs & Files switched on.
Writing things down, in the right place
Remote work runs on writing, and Emitii gives each kind of writing a home:
- Pulse is the space's group chat, for quick back-and-forth. Threads keep topics apart, and people can follow a thread, pin messages and save messages for later. "Remind me" brings a message back in 20 minutes, an hour, three hours or tomorrow at 9:00.
- Posts carry anything that should outlast the chat: a weekly update, a decision and its reasoning, a process change. Posts can be pinned, commented on and sent with "Notify everyone".
- Comments sit on the card, to-do, event or doc they are about, so feedback does not have to be found in chat later.
- Docs & Files holds handbooks, specs, meeting notes and anything people will look up again.
See team communication and posts for details.
Async status without a daily meeting
The Board and Tasks make progress visible without a status call. Cards show assignees, due dates, priority and a blocked flag with a reason. Each person's Home shows what needs them, what is overdue and what is coming up across every space.
A written standup can be a daily Pulse thread or a weekly Post. If AI is enabled for the space, anyone starting their day can ask Emit to "Catch me up on this space" or "Summarise what is in progress" and get a summary of the space's activity, instead of scrolling through the night's messages. The weekly team meetings guide suggests how to shrink meetings once this is in place.
Time zones and notifications
Protecting people's off hours matters more when the team spans continents. Emitii has notification levels ("Everything", "Involved", "Just me"), quiet hours, "Pause everything" and mutes per space or conversation. People can choose to have Emitii email them what they missed. Online presence shows who is around, and profiles show each person's availability.
My calendar shows events from every space plus assigned cards and to-dos, and can overlay a Google Calendar read-only. Schedule events have invitees and RSVP, and meeting links from your video tool can go in the event description. Voice and video calls are coming soon to Emitii.
Onboarding someone you will never meet in person
When a new person joins, an admin invites them and adds them to spaces directly or through Groups and Departments. Access adds up, so being in several groups never takes anything away. On day one they can read the space history, the pinned Posts and the handbook in Docs & Files. The employee onboarding template is a starting checklist.
